Choosing and Replacing Practice Management Software: What to Evaluate Before You Switch
A vendor neutral look at how veterinary practices should evaluate practice management software, what to check before committing to a switch, and where these projects most often go wrong. This includes how AI features and security requirements should factor into selection criteria.

Hacked in 11 Seconds: Cyber Threats, Shadow IT and the Veterinary Practice Defense Plan
It’s 7:45 am and you’re first in. The front-desk computer wakes without a password handy, because the whole team shares that login anyway. The PIMS password is the practice name plus the year; everyone knows it, that’s the point. Antivirus got switched off on the imaging PC last week because it kept breaking the PACS link someone will turn it back on when things calm down. Reception is drowning in emails, but pasting client histories into ChatGPT to draft replies is saving hours. I wish the Windows update popups would just go away? Dismissed again. There’s a full waiting room. But hey at least Alexa playing out some great music, keeps people in the right mindset.
Nothing in that paragraph feels unusual. Every line of it is how an attacker gets in.
In this session, veterinary IT expert and Certified Ethical Hacker Jack Peploe shows you exactly how by walking through a real breach he staged, with permission and on camera, against his own marketing manager: one lookalike email, full access, ransomware. You’ll hear AI-cloned voices you cannot tell from real ones, see how a fraudulent out-of-hours invoice with “updated bank details” slips past a busy accounts inbox, and meet the Shadow IT and Shadow AI already running in your practice without approval.
At every stage we stop and ask one question: what would have stopped this? You’ll leave with a practical, budget-realistic defence plan built for how veterinary practices actually run, passwords and MFA that survive a shared consult room, staff training that sticks, tested 3-2-1 backups, safe rules for AI tools, and six rules your whole team can live by from Monday morning.

The AI You Didn't Hire: Data Protection, Due Diligence and Staying in Control of the Tools Already in Your Practice
It’s 2:40 in the afternoon and the consult isn’t going the way anyone hoped. An owner is being told the worst, and somewhere between the prognosis and the tissues she mentions the divorce, the mortgage, the fact she’s between jobs. On the desk, a small AI scribe is listening to all of it, and by the time she reaches reception the note is written and the vet is on time, for once. It’s brilliant. And nobody in the building can tell you where that recording just went, who can hear it, or whether it’s teaching someone else’s model tonight.
That scribe was hired with no interview, no references and no contract. So was the chatbot reception drafts replies in, the Copilot your practice-management vendor switched on in the last update, and the free ChatGPT tab someone opened this morning. Every one of them has access to your clients, your records and your name and not one of them was vetted.
In this session, veterinary IT expert and Certified Ethical Hacker Jack Peploe reframes the whole problem with one idea every practice already understands: every AI tool is a new member of staff. You’ll follow a single consult recording out of the room and watch where it actually goes; you’ll learn why a work email is not a work account; and you’ll meet real cases where it went wrong, the engineers who leaked source code into ChatGPT within weeks, the transcription tool that invented a medication in a patient’s notes, and the company a tribunal held liable when its chatbot made a promise it couldn’t keep.
Then Jack gives you the fix: a five-stage process to hire, manage and when you have to fire the AI already in your practice, a one-page policy your whole team will actually follow, and a ninety-day plan to put it in place. You’ll leave able to answer the one question that matters when a client turns at the door and asks who else can hear that.
